Tots Sports Program Policies

General Policies
- Classes are first come, first serve. Sessions run on year round basis and you are not automatically signed up for the next session .To insure you get in a class and find a time and location please call the Tots Sports Office at 832-497-4193
- Classes are 45-50 minutes in length
- Please check in with your instructor each week and sign in
- Children and Parents (participation classes) should wear playground clothes and tennis shoes
- Parent participation classes (Teddies/Teddies II, Grasshoppers and Minors) - please have one parent on the playing field. This will allow for less distraction, more space and more interaction for the children
- NO food or drink or gum on the playing field
- Please have children use the bathroom before class
- Liability Waiver Form- All parents of participants are required to sign this document on behalf of their child prior to stepping on to the field. There are no exceptions to this rule. Should you not sign this document, your child will not be allowed to participate and no credits or refunds will be issued
- Safety- We strive to provide the utmost in security and safety for all your children. Should you have a concern of any kind, please bring it up immediately to the Coach or if necessary to the Director
- Please note that Tots Sports reserves the right to delay or cancel classes where enrollment is fewer than 4 children. Should a cancellation occur, we will make every effort to enroll your child in another class. Since classes that are less than four students will be subject to schedule changes, please have a second class choice time in mind.
Registration Fee
A $35.00 annual registration fee is due upon your initial signup with Tots Sports. This charge will be required annually upon your anniversary date.
- There is no sibling discount for the registration fee.
- This fee is subject to change at the discretion of the organization and will supersede any price that may be posted online or in outdated informational brochures made available throughout the North Houston area
- Any refund on the registration fee is based on the situation.
- Upon registration payment, the free trial class is automatically forfeited and cannot be applied to any class or any session.
Refunds
- A $25.00 administration fee will be charged for all refund requests. (Except when the child does not engage)
- No admin fees are charged if a class credit is accepted.
- The Registration fee will be forfeited, if the reason for cancellation is customer oriented.
Session Cancellation by Customers
- If your request to cancel an entire session is received at least one week (7 days) prior to your first class of the session, your class fees and registration fee will be refunded. There will be a $25.00 administration fee charged
- Cancellations made within 1-6 days from the beginning of your class registered for, will only be given a refund of class fees and will be charged $50, which is the $25 registration fee and a $25.00 administration fee
- Tots Sports will not offer any refunds after your first class registered for. You will receive a credit for the remainder of classes in the session you registered for
Once we have reserved a spot for you in a class, that spot is considered sold, and is no longer marketable. We understand that life events do happen which will cause you to miss classes so please refer to the Session or Class Cancellations policy for further information.
Trial Classes (No Obligation Trial)
Tots Sports trial class program is in place to allow customers to try the programs without committing to the session. You must contact the Tots Sports Office at 832-497-4193 to schedule a Trial Class
Only one trial class is permitted per child, per family. If a sign-up results in a registration then payment for that class is due including the remainder of the session fees. •
- Trials are granted at the request of the customer and are only permitted based on availability in the class requested for the Trial.
It is not the responsibility of SoccerTots, HoopsterTots and Lil sluggers nor is it required by Tots Sports to offer a Free Trial class to any customers at the time of registration. You must request the free trial class via e-mail or telephone, so we can check availability. Do not just show up to a class as it may be full
- After the session has started, there are no free trial classes if you register
- Trial classes do not obligate the customer in any way to pay for the class or the session that is currently active unless it results in a registration
- Upon completing the class, if you choose to join us for the rest of the session please tell the instructor. You can write a check and give it to the instructor or contact the office to arrange payment. Your spot will not be secured until we have received payment. If we have not heard from you within 48 hours of your trial, we reserve the right to sell that class spot
IMPORTANT: Please contact us if you cannot attend your scheduled trial class at 832-497-4193. We ask this out of common courtesy for other customers who might be on a waiting list, as we strive to keep the child: instructor ratio around 8-10:1. Our instructors also need to be aware as to how many children to be expecting.
Pro-Rating
Tots Sports encourages customers to join classes at any time within the session. Since we are a program the develops individual motor skills and sports skills you will have not missed out on any important objectives if you do not get into the beginning of the session.
- Class Fees are pro-rated and the class charge will be based on the remaining classes left in the session. Customers must pay for the class spot whether or not your child can attend all class. The pro-rated fee is based on the number of remaining classes in the session registered in and not the number the customer can attend
Make-up Classes
We understand at Tots Sports that there will times that you will be unable to attend a class. It is not necessary to call the office in advance to let the instructors know you cannot make a class. You may call to schedule a make-up class for any missed classes by calling Tots Sports and arranging to participate in an alternate class that has availability. Understand that this is at the discretion of Tots Sports and Tots Sports will provide class time and location alternatives that have space availability.
- Tots Sports does NOT INSURE make-up class space and or availability. It is on a first come first serve basis.
- Make ups have no cash value and cannot be applied towards another session or given to another member or non-member.
- Classes not made up upon completion of the session are forfeited and will not carry over into any subsequent sessions.
- Exception to the rule. Two missed classes may be carried over to the following session, but only if the participant re-registers for the following session.
Payment
Sessions must be paid in full or choose a payment option at registration. Personal Checks, MasterCard, Visa and Cash is gladly accepted. A $30.00 fee will be assessed for all returned checks. Checks must be received prior to class start. No reserving or holding spots will be permitted
Instructor Requests
We understand that once your child finds an instructor with whom he or she is comfortable, you may want to continue with that instructor. We will try our best to accommodate you with your request, however, we cannot guarantee that you will be assigned the instructor that you request. Because all of our teachers are excellent and bring along their personalities and skills we feel that it may benefit your child to take classes from a variety of instructors.
Instructor Absences
We schedule our instructors to avoid any unnecessary staff absences; however, at times an instructor may be unavoidably absent. Should your instructor be absent, we will provide an extremely competent substitute. In the extreme case, when no substitute can be provided, we will arrange a make-up class or issue a voucher worth the full value of the class.
Parents Role
As our classes and curriculum are based on age, there will be differences in the progress of your child versus the other children. Please do not compare. Just as children learn to walk and talk at different rates, they will progress in Tots Sports at their own pace. Praise even the smallest accomplishments. Let your child know that you are proud of them. Positive reinforcement is always one of the greatest tools in any learning experience. At Tots Sports we utilize a pull philosophy, rather than a push philosophy. We feel it best to include them in activities they enjoy partaking in, rather than pushing them into an uncomfortable situation
Drop-Off Policy
- Tots Sports classes are NOT drop-off classes. Parents or caregivers of all participants must stay in the building or vicinity during classes in case your child needs assistance
Babies
They are welcome to observe the class but for safety reasons, we may no longer allow these younger children to walk and crawl around the field and play with equipment on the same field as the class. If you wish, you may ask the instructor for some equipment for the child to play with in another area where classes are not being conducted.
Older siblings
They are welcome to watch but may only participate as a "helper" to the instructor and not as participants. We can only have 1 helper per class. Again, this is to prevent injury to the children. Older children will be asked to leave the field should they be a distraction to the class.
The crying child
There are many reasons why children cry; separation from parents, feeling out of control, afraid of the new situation, hunger, or tired. Each and every reason will go away with time and positive reinforcement, except for hunger and tired. Therefore, please pick times that do not directly conflict with your child's nap time and please feed the hungry tummy prior to class. Each instructor can share many stories with you about reluctant, fearful or shy students that end up happy. Please remember, crying, fussing, non-participation is much more difficult for the parent than the child or the instructor. If you should see your child is truly upset or crying non-stop, please feel free to come and join them on the field as long as you feel it to be necessary.

Privacy Statement for The Active Network

Active recognizes that privacy is important. This Privacy Policy applies to all of the websites and products owned and/or operated by The Active Network, Inc. and its subsidiary and affiliated companies (collectively "Active") unless expressly noted otherwise. The majority of Active’s websites are intended for a general audience and this policy describes our general use of information. Active uses your information to perform transactions, deliver services or information you have requested, and offer you products and services from Active and our trusted partners, programs or services that we believe may be of interest to you. Active also uses your information to contact you when necessary for customer service purposes. We may combine your information that we have with information we obtain from business partners or third parties to provide you with a better product or Active experience. Active may use information relating to your visit or use of our websites, or information you provide to us, for market research purposes in order to continually improve the product and services that Active delivers to you.
If you choose to submit content for publication we may publish your screen name and other information as provided by you or to personalize your user experience. If you register for a competitive event, your name, event entry identification, and interim and final event time results may be made publicly available on any Active website.
Active receives and records information on our server logs from your browser, including your IP address, Active cookies (small pieces of information stored by your browser), and the page(s) you request. Active uses this information to customize the advertising and content you see, fulfill your requests for products and services, improve our services, contact you, conduct research, and provide anonymous reporting for internal and external clients.
When Active does share your information with our subsidiaries, affiliated companies and trusted businesses or persons, we require that these parties agree to process such information based on our direction and in compliance with appropriate confidentiality and security measures.
Active also displays targeted advertisements based on personal information. Third party advertisers (including ad-serving companies) may assume that people who interact with, view, or click targeted ads meet the targeting criteria. However, Active does not provide any personal information to the advertiser when you interact with or view a targeted advertisement.
Except as otherwise described in this Privacy Policy, it is Active’s policy not to distribute to third parties any personally identifying information about you without your consent (usually communicated through either an "opt-out" or "opt-in" notification or mechanism). Upon obtaining your consent, Active may provide access to or otherwise disclose your personally identifying information to third parties. However, we may aggregate certain personally identifying information - meaning that the information from many Active users is grouped together in a way that does not disclose the personal information of any particular user − without your consent.
You may choose not to submit certain personal information while on our websites, in such instances Active may not be able to provide you with certain services.
If you are using our services to register for an event, program or to purchase a third party product, Active shares the personal information you provide to applicable third party(ies) to fulfill your request. Each such party operates independently from Active and maintains its own privacy and security policy. Active bears no responsibility from the activities of any such third party to whom Active provides information to process your request and you should contact those third parties directly regarding your preferences for the use of your personal information.
2. Legal Disclosures
Active may release your personal information to third parties: (a) in order to comply with a valid legal requirement such as in compliance with any law, regulation, search warrant subpoena or court order; or (b) in special cases, when we believe it is necessary to share information in order to investigate, prevent or take action regarding any illegal or unauthorized activities, suspected fraud, situations involving potential threats to the physical safety of any person or violations of our Terms of Use.
3. Information Security
Active has established and maintains reasonable security procedures to protect the confidentiality, security and integrity of your personally identifiable information, including the use of secure socket layer (SSL) and encryption methods. We regularly evaluate our data collection, storage and processing practices and security to guard against unauthorized access to our systems. You can help to protect your information by safeguarding your Active password and using caution and discretion when posting information on public areas of the sites.
Although Active uses commercially reasonable efforts to safeguard your information, transmissions made by means of the Internet cannot be fully secure in all instances and we cannot guarantee that personally identifiable information that we collect will never be disclosed in a manner that is not consistent with this Privacy Policy.
